5 Strategies to Enhance Your Productivity
When I embarked on my entrepreneurial journey a few years back, I struggled with being productive. The transition from a structured environment with more senior accountability to a world where I was responsible for everything, from task allocation to execution, was a seismic shift for my system. I was constantly overwhelmed, unable to focus and struggling to get things done.
I immersed myself in productivity research to regain control of my life, learning everything I could. I read books like 'Getting Things Done', watched countless productivity YouTubers like Ali Abdaal and Carl Pullein, and listened to hundreds of productivity podcasts. I experimented with dozens of techniques—from post-it note reminders on my monitor to an hourglass at my desk for time tracking. Some strategies worked better for me than others.
This in-depth exploration introduced me to toxic productivity, where productivity is pursued excessively, often at the cost of our peace of mind. Chasing hustle culture is a clear path to burnout. Productivity does not mean constant engagement or operating at 100% efficiency all the time. Instead, it involves implementing strategies to consistently and sustainably perform our work over time.
If, like me, you value enhancing productivity while maintaining peace of mind, here are five strategies you can implement in your own life:
1. Abandon Multitasking
Contrary to popular belief, multitasking does not increase our efficiency. It takes an average of 23 minutes to get back on track when we switch tasks. Context-switching can cause mental fatigue and elevate our risk of making errors. Instead, maintain focus by turning off your notifications, closing your office door, and dedicating your attention to a single task. Emails and text messages can wait for a designated time, ensuring your focus remains undivided.
2. Schedule Breaks
It's essential to recognize that, despite the benefits of single-tasking, our ability to focus declines when we fixate on a single task for extended periods. Regular breaks can counteract this. The Pomodoro Technique recommends working for approximately 25 minutes, followed by a 5-minute break. These timeframes may differ for each of us—I find a 45-minute work stretch followed by a 10-minute break more effective. Regardless of the specifics, the principle remains: do focused work for some time, then rest. Regular intervals of rest and recharge help maintain high energy levels throughout the day, boosting overall productivity. If social media tempts you mid-task, remind yourself you have an upcoming break. You can check your DMs then.
3. Prioritize
After mastering the balance of work and rest, we must address task management. When our daily task list seems endless, it's easy to feel overwhelmed and unaccomplished. Prioritization channels our energy towards high-value tasks, maximizing our productivity. The Eisenhower Matrix is a tool that sorts activities based on urgency and importance, helping us determine which we should do now and which to do later, if at all. You have four quadrants: (1) tasks that are urgent and important (do these now), (2) important but not urgent (schedule these), (3) urgent and not important (delegate these), (4) not urgent and not important (delete these). Allocate your work to each of these quadrants, and then execute accordingly.
4. Time Blocking
Having prioritized our tasks, the next indispensable strategy is Time Blocking. Review your prioritized task list and decide on the specific date and time you'll do each. Use a calendar, like Google Calendar, and add the task as a meeting. When the time arrives, treat it like a meeting with yourself, focusing exclusively on that task. Instead of sporadically checking emails (remember the adverse effects of context-switching), set two or three slots specifically for email management a day. This dedicated focus, especially on important tasks, ensures that we make daily progress towards our goals.
5. Self-Care
Self-care is arguably the most crucial productivity strategy. With even the best methods in place, exhaustion and stress can hamper our productivity. Therefore, ensure you get enough sleep, maintain a balanced diet, exercise regularly, and make time for stillness. A strong and healthy body leads to a clear and active mind, enhancing productivity.
